A busy open-plan office, softly out of focus, with people walking between desks

Your team’s busywork, engineered out.

We build the AI agents and automations that sort your files, answer the routine emails, and move data between your tools, then show you exactly how many hours and dollars you got back.

Works with

  • Google Workspace
  • Microsoft 365
  • Dropbox
  • QuickBooks

Busywork costs real money

Filing, retyping, and routine email quietly eat a chunk of every working week, and that time rarely shows up on any report.

2.2 hrs

a week saved, on average, by US workers using generative AI tools on their own. It's a general average, not a limit on what a system built for your work can save.

What we build

Four kinds of fixes, each built inside your existing accounts with approval steps and an activity log.

Every file read, renamed, filed, and findable

Incoming files get read, renamed to your convention, and filed to the right folder. Your team searches everything in plain English instead of hunting for the signed version.

What you can hold us to

Five commitments that come with every project, written into the proposal.

Every project starts with a number

Before we build anything, we estimate the hours and dollars it will save. After launch, you get the real numbers every month, with AI usage costs shown at cost.

September savings report

Example

Hours saved

62

Dollars saved

$2,170

AI usage, at cost

Works with the tools you already pay for

You keep your current software, and the whole team doesn’t need retraining.

  • Microsoft 365

  • QuickBooks

  • Slack
  • Salesforce
  • Notion

People approve what matters

Money always waits for a person. Customer emails and deletions do too, until you say otherwise.

From first call to measured savings

Four steps, always in this order: we estimate the savings before we build anything.

  1. 1

    Map: find the waste

We interview your team and watch how the work gets done. You get a ranked list of fixes, each with estimated hours and dollars saved, build cost, and payback period.

    1 to 2 weeks
  2. 2

    Plan: pick the highest-return fixes

Together we choose what to build first. A good default is the item with the fastest payback. We agree a fixed price and a savings target before anything gets built.

    A few days
  3. 3

Build: live in weeks, with approval steps

We build inside your accounts, test with your real documents, and put approval steps on anything that sends money, emails a customer, or deletes a file.

2 to 6 weeks, depending on scope
  4. 4

Measure: see the savings, every month

After launch we measure the real numbers against the target. On a care plan you get a monthly report of hours and dollars saved, plus monitoring and fixes.

What we need from you

  • A 1-hour kickoff meeting with the owner or manager
  • Access to the tools involved, scoped to the minimum needed
  • One point person we can ask quick questions

What is your busywork costing you?

Three numbers get you a conservative estimate, and we don't ask for your email.

Count filing, retyping, routine email, and chasing. A rough guess is fine.

Wages plus taxes and benefits. We start at $35; use your own figure if you know it.

Assumes 48 working weeks and a conservative 30% of that time removed. These are estimates, not promises. The Time & Money Map replaces them with measured numbers.

Built by a security engineer

The founder’s background is information security at a fintech. That shapes every build, because the fastest way to lose your trust is to be careless with your data.

  • Your records are stored in your accounts

Your files and records are stored in your own accounts. To do their work, automations send content to the services that process it, such as your AI provider and automation platform, and we list every one for you. If we part ways, everything keeps working.

  • Least-access permissions

Every connection gets the minimum access needed for its one job, such as reading one folder rather than your whole drive. You can see and revoke every permission.

  • Approval steps and activity logs

Money never moves and payment details never change without a person. Customer emails and deletions wait for a human to approve them until you decide otherwise. Every action lands in a log you can read.

  • Business AI plans that don't train on your data by default

We only use business or API plans from AI providers, set up in your company's name, never free or consumer plans. Their terms say your data isn't used to train models by default. We never sell data or keep copies we don't need.

What the math looks like

Illustrative examples, not client results or testimonials. Your Map replaces them with your own numbers.

Accounting practice, 12 people

Example

22 hrs/week

back, worth about $40,000 a year

Before

Three staff spend a combined 31 hrs/week filing client documents and retyping figures into workpapers.

After

If documents filed themselves and figures landed in workpapers for review, about 22 of those hours could come back.

Property management, 18 people

Example

13 hrs/week

back, worth about $24,000 a year

Before

Transaction admin takes about 20 hrs/week: filing disclosures, chasing signatures, and assembling owner statements.

After

With filing and chasing running on their own behind approval steps, about 13 hours a week could go back to client work.

General contractor, 25 people

Example

12 hrs/week

back, worth about $22,000 a year

Before

The owner spends evenings coding supplier invoices and chasing unpaid bills, about 18 hrs/week of office work.

After

If invoices were read and coded for approval and payment reminders went out on their own, the owner could get evenings back: about 12 hrs/week.

Questions owners ask first

These cover software, timing, mistakes, and money. If your question isn’t here, ask us on the call or email hello@taskcad.com.

Do we have to switch software?

No. We build inside the tools you already pay for: Google Workspace, Microsoft 365, Dropbox, QuickBooks, your CRM, your inbox. If a tool can't do the job, the Map tells you before you pay for a build.

How quickly will we see results?

A Starter build is scoped to go live in about two weeks. Your first monthly savings report arrives about a month after launch, measured against the target we agreed up front.

What if the AI gets something wrong?

Nothing we build sends money or changes payment details on its own: a person always does that step. Customer emails and file deletions wait for a person to approve them until you decide otherwise, and anything AI writes that reaches your customers without a person reviewing it is labeled as AI. Every action lands in an activity log, and every automation has an off switch you control.

Who pays for AI usage costs?

You do, at cost, with no markup. The monthly report shows usage cost right next to the hours saved, so you always see both sides of the math.

Do you keep our data?

We don't keep copies beyond what a project needs. Your files and records stay stored in your own accounts, and we work inside them with scoped access you can revoke at any time. To do their work, automations send content to the services that process it, such as your AI provider, which may keep it briefly (up to 30 days at some providers) under its business terms. We name every service that handles your data, in writing, before we build.
